<p class="wp-block-paragraph">Whether your team uses a big-name Human Resource Information System (HRIS) or a proprietary manual process, employee onboarding is not a siloed task. In practice, it touches nearly every department of an organization<ins>,</ins> from HR to admin.</p>



<p class="wp-block-paragraph">Access needs to be granted, equipment prepared, documentation completed, and teams aligned long before day one. As a result, onboarding success depends less on <em>how</em> employee data is stored and more on the ability of an organization to collaborate across teams.</p>



<p class="wp-block-paragraph">This is where SharePoint and Power Automate can play a critical role.</p>



<p class="wp-block-paragraph">At DMC, we have evolved our own onboarding approach over time, moving from SharePoint Designer workflows to a more modern solution built on Power Automate, SharePoint lists, and Modern Pages. This approach has allowed our organization, as well as clients we’ve assisted, to create a more flexible and maintainable onboarding system aligned with current Microsoft 365 best practices.</p>



<p class="wp-block-paragraph">If you are considering a SharePoint and Power Automate solution because you’ve outgrown the capabilities of your HRIS or you want to add some rigor to current manual processes, there are some important considerations to make before making the switch.</p>



<h2 id="h-1-consider-where-hris-platforms-add-value-and-where-they-fall-short" class="wp-block-heading">1. Consider Where HRIS Platforms Add Value and Where They Fall Short</h2>



<p class="wp-block-paragraph">HRISs play an essential role in onboarding. They are designed to manage employee records, benefits, and compliance-related processes, and they do this very well.</p>



<p class="wp-block-paragraph">However, HRIS platforms are not typically built to orchestrate dynamic, cross-department workflows.</p>



<p class="wp-block-paragraph">Common limitations include:</p>



<ul class="wp-block-list">
<li>Rigid, one-size-fits-all workflows.</li>



<li>Limited configurability without vendor involvement.</li>



<li>Lack of visibility for non-HR teams.</li>



<li>Weak integration with the tools employees use every day, such as Teams and SharePoint.</li>

<p class="wp-block-paragraph">As a result, teams often fall back on email, spreadsheets, or ad hoc tracking methods to fill the gaps.</p>



<p class="wp-block-paragraph">HRIS systems are designed to manage employee data, not to coordinate operational tasks. And when those tasks apply to different teams across departments, HRIS systems can really fall short. This is not a shortcoming of HRIS platforms; it’s simply a matter of scope.</p>



<p class="wp-block-paragraph">That said, the most effective approach is not to fully replace an HRIS but to extend it. This is where SharePoint and Power Automate can act as a flexible coordination layer, connecting people, tasks, and systems across the onboarding lifecycle.</p>



<h2 id="h-2-assess-your-current-onboarding-process-and-requirements" class="wp-block-heading">2. Assess Your Current Onboarding Process and Requirements</h2>



<p class="wp-block-paragraph">Before designing a solution, it is important to understand how onboarding actually works in your organization today.</p>



<p class="wp-block-paragraph">As we’ve mentioned, onboarding is not a single workflow. It is a collection of tasks owned by different teams, each with its own processes, timing, and requirements.</p>



<p class="wp-block-paragraph">So, it’s important to ask some of the following questions before designing a new onboarding system:</p>

<li style="padding-bottom:var(--wp--preset--spacing--40)"><strong>How do onboarding tasks vary by office location?</strong> On-site onboarding tasks often differ from office to office. For example, one location may need to coordinate building access and employee badging, while another may need to prepare a parking space or other workspace accommodations.</li>



<li style="padding-bottom:var(--wp--preset--spacing--40)"><strong>What documents, approvals, or systems are involved? </strong>Consider offer letters, compliance forms, equipment requests, and system access.</li>



<li><strong>How is progress tracked today? </strong>Many teams rely on email threads, spreadsheets, or disconnected tools, which can make it difficult to maintain visibility.</li>
</ul>

<p class="wp-block-paragraph">When HRIS platforms fall short in coordinating tasks, organizations often turn to custom workflows.</p>



<p class="wp-block-paragraph">In many cases, these workflows are hard-coded to define:</p>



<ul class="wp-block-list">
<li>Which tasks are created.</li>



<li>Who each task is assigned to.</li>



<li>When tasks are triggered.</li>



<li>How dependencies and due dates are structured.</li>



<li>Which onboarding stage initiates the work.</li>
</ul>



<p class="wp-block-paragraph">This approach can work initially, especially for straightforward onboarding processes. However, onboarding rarely stays static.</p>



<p class="wp-block-paragraph">As organizations grow and evolve, certain changes are inevitable. HR might introduce new compliance steps; a team may suddenly need to reassign responsibilities; new office locations may require different onboarding activities; a start date or timeline changes, etc.</p>



<p class="wp-block-paragraph">When these rules are embedded into a workflow, even small changes call for developers to update, test, and redeploy every solution. <p class="wp-block-paragraph">Power Automate can then dynamically read these templates and generate tasks based on the specific onboarding scenario.</p>



<p class="wp-block-paragraph">This approach offers several advantages:</p>

<p class="wp-block-paragraph">This model also complements HRIS platforms well. HRIS systems remain the source of truth for employee data, while SharePoint and Power Automate handle task coordination and execution.</p>

<p class="wp-block-paragraph">Storing files in the cloud and sharing them has never been easier thanks to tools like Microsoft OneDrive and <a href="https://static.dmcinfo.com/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint/document-management">SharePoint Online</a>. OneDrive cloud storage allows you to control permissions on your files, collaborate with others on them at the same time, and share them in a variety of ways. One popular way to share files in the cloud is using the share&nbsp;button. While the share&nbsp;button is easy to use, I&nbsp;considered its pros and cons and offer some best practices for sharing files. &nbsp;</p>



<h2 id="h-pros-the-share-nbsp-button-is-convenient-nbsp" class="wp-block-heading">Pros: The Share&nbsp;Button is Convenient&nbsp;</h2>



<p class="wp-block-paragraph">If you’ve used SharePoint Online or OneDrive, you’ll recognize the share&nbsp;button located in the navigation ribbon above your document library. This button appears as a default unless you turn it off on a tenant level.&nbsp;</p>



<p class="wp-block-paragraph">When you click the share&nbsp;button, it prompts you to type the name, group, or email of the party you would like to send the document to. It also offers a field to send a message along with the file. An automated email containing the file and any message you included will arrive in the recipient’s inbox. Users appreciate how easy it is for any employee to share content with other people inside or outside of their organization using the share&nbsp;button. &nbsp;&nbsp;</p>

<h2 id="h-cons-the-share-nbsp-button-can-cause-permissions-issues-nbsp" class="wp-block-heading">Cons: The Share&nbsp;Button Can Cause Permissions Issues&nbsp;</h2>



<p class="wp-block-paragraph">While Microsoft’s share&nbsp;button is convenient for users, it can cause some unanticipated issues on the backend. When people use the share&nbsp;button, it creates a unique set of permissions for that one file or location. Then, permissions are managed at the level of the individual name of the user who received it rather than at a companywide level.&nbsp;</p>



<p class="wp-block-paragraph">This can become an issue when a change happens. Instead of managing permissions in Active Directory by team, you may have to edit permissions for every user who received the file via share button. This can cause headaches for IT and cost extra time for maintenance. &nbsp;</p>



<p class="wp-block-paragraph">For example, if someone shares the OneNote file for Project Awesome with Jane, Jamal, and Jennifer using the share&nbsp;button then permissions are created at each of their individual name levels. If this option is continuously used, the organization could have a permissions web on their hands. Instead, users should share the file with the Project Awesome Team and that team should be defined as containing Jane, Jamal, and Jennifer. In this instance, future changes can be addressed at the Project Awesome Team level rather than every individual member. When you’re making sitewide changes this time savings can add up. &nbsp;</p>

<h2 id="h-best-practices-for-sharing-files-nbsp" class="wp-block-heading">Best Practices for Sharing Files&nbsp;</h2>



<p class="wp-block-paragraph">The best practice for sharing files within your organization is to consider a companywide strategy. In general, permissions should be handled at the organizational level and not be managed by individuals. &nbsp;</p>



<p class="wp-block-paragraph">There is a configuration setting at the site collection level that allows you to only share with people who already have permissions. This will allow users to send an email sharing the document and it does not alter the permissions. As part of your organizational strategy, consider choosing this option by default and being cautious about where to leave the share&nbsp;button feature on.&nbsp;</p>



<p class="wp-block-paragraph">The share button can be useful if you need the ability to share documents with users outside of your organization. However, it should be used judiciously. <a href="https://static.dmcinfo.com/contact">DMC can help</a> you set this up.&nbsp;</p>



<h2 id="h-use-the-copy-link-nbsp-option-to-share-files-nbsp" class="wp-block-heading">Use the Copy Link&nbsp;Option to Share Files&nbsp;</h2>



<p class="wp-block-paragraph">Fortunately, Microsoft offers more than one way to share files. Rather than use the share&nbsp;button, users can copy a link to the file and share it with others. &nbsp;</p>



<p class="wp-block-paragraph">Select your file and click the three dots or overflow menu to the right of the file name. A navigation window will appear.</p>



<p class="wp-block-paragraph">&nbsp;</p>



<p class="wp-block-paragraph">After you click “copy link,” you can paste the link into an email or chat window. This method has the added benefit of being able to customize your message to the recipient when including the document link, rather than generating an automated email. &nbsp;</p>

<p class="wp-block-paragraph">If you need to further customize the permissions, click “Settings” on the “Link copied” window. This will display additional options for sharing the document link if they are available per your organization’s link-sharing strategy. &nbsp;</p>

<p class="wp-block-paragraph">While Microsoft makes it easy to share documents between users, the method that users choose may have unintended consequences for permissions at the user level. Considering a companywide strategy for document management permissions and communicating best practices to your users can save your IT team time and keep your organization productive. &nbsp;</p>

<p class="wp-block-paragraph">If you frequently work with outside&nbsp;organizations, you&nbsp;understand the importance of consistent communication during collaborative&nbsp;projects. Microsoft Teams provides&nbsp;various ways to connect with your collaborators and coordinate efficiently.&nbsp;Read on to learn four of these methods, and choose the one&nbsp;that&nbsp;works best for you.</p>



<ul class="wp-block-list">
<li>Note:&nbsp; If you are communicating with a client and you see the word ‘(Guest)’ next to their name, it means that they must sign into your organization’s tenant in order to receive your messages.&nbsp;</li>
</ul>



<ul class="wp-block-list">
<li>If you see ‘(External)’ or nothing next to their name, it means they can communicate with you from their own tenant.</li>
</ul>



<ul class="wp-block-list">
<li>There are multiple ways to chat, but chat capability will be limited by the settings of the client tenant.&nbsp; Use options 1-3 if your IT department is unable to update the client’s settings.&nbsp;&nbsp;</li>
</ul>



<ul class="wp-block-list">
<li>Option 4 is the best interface for you and your client but will require them to update their settings.</li>
</ul>



<h2 id="h-short-term-client-client-tenant-teams-is-locked-down-cannot-update-teams-settings-or-highly-restrictive" class="wp-block-heading"><strong>Short term client &#8211; Client Tenant Teams is locked down (cannot update Teams settings or highly restrictive):</strong></h2>



<h3 id="h-option-1-start-and-pin-a-group-chat-nbsp" class="wp-block-heading">Option 1 &#8211; Start and pin a group chat&nbsp;</h3>



<p class="wp-block-paragraph">The benefit of this option is that both users will be able to view the chat in their own tenant. However, it doesn’t allow for threaded conversations.</p>



<p class="wp-block-paragraph">On the chat page in teams, click on the pencil edit icon to start a new chat and enter the client’s email address.&nbsp;</p>

<p class="wp-block-paragraph">If their settings allow for communication, Teams will find the user and display ‘(External)’ next to their name so you can start a chat which allows both of you to stay within your own tenant.&nbsp;</p>



<p class="wp-block-paragraph">If you&nbsp;need to add multiple team members you can include members from other organizations. Teams will notify everyone in the group when you send a chat&nbsp;depending on their settings.&nbsp; Pin the chat by clicking on the 3 dots and selecting ‘Pin’.</p>

<h3 id="h-option-2-invite-your-client-to-a-team-in-your-tenant" class="wp-block-heading">Option 2 &#8211; Invite your client to a Team in your Tenant</h3>



<p class="wp-block-paragraph">This requires your organization’s tenant to allow external users. The benefit of this option is that you can share project documents and other content as needed and have threaded conversations in Microsoft 365. But users will be required to switch from their own tenant to yours, which is an inconvenience. This can be accomplished by switching tenants with the drop-down next to your name in the Teams interface, or by opening Teams in a private browser session.&nbsp; <strong>Make sure you have permissions accounted for before taking this step</strong> to ensure that clients only have access to content you want them to have access to.</p>



<p class="wp-block-paragraph">Create a Team&nbsp;by clicking on the left icon from the project’s SharePoint site and invite them as a guest to your tenant.</p>

<p class="wp-block-paragraph">Once your team is created, click on the ‘…’ next to the team name, select ‘Add Member’, and type in the client’s email address.</p>

<h3 id="h-option-3-be-invited-as-a-guest-to-their-tenant-s-team" class="wp-block-heading">Option 3 &#8211; Be invited as a guest to their tenant&#8217;s Team</h3>



<p class="wp-block-paragraph">This option is simplest for clients but requires you to sign into their tenant. You will be required to switch between tenants for meetings or communication with other clients.&nbsp;</p>



<p class="wp-block-paragraph">When entering a Teams meeting while using the client tenant on your desktop, the app will treat you as an external user and client permission will be required to enter meeting rooms. The client’s settings will need to allow for this, but once admitted, you will have a shared collaboration space.&nbsp;</p>



<p class="wp-block-paragraph">Tip: Use Teams in an incognito browser to simultaneously keep both tenants open without having to switch back and forth for Teams Meetings.&nbsp;</p>



<h2 id="h-long-term-client-can-update-teams-setting-to-allow-for-collaboration" class="wp-block-heading"><strong>Long term client, can update Teams setting to allow for collaboration.</strong></h2>



<h3 id="h-option-4-create-a-shared-channel-nbsp" class="wp-block-heading">Option 4 &#8211; Create a Shared Channel&nbsp;</h3>



<p class="wp-block-paragraph">This option is the best for all parties, as you can each work in your own tenant. It gives you access to threaded conversations,&nbsp;​shared documents, and content without having to worry about permissions. This method only provides access to content in one specific&nbsp;channel and creates a separate space for documents, but it requires the client’s IT to update their tenant to allow collaboration with your domain.&nbsp;</p>



<p class="wp-block-paragraph">Step 3 – <a href="https://support.microsoft.com/en-au/office/create-a-team-from-scratch-in-microsoft-teams-174adf5f-846b-4780-b765-de1a0a737e2b">Create the Teams team​</a> as shown in Option 2 above.</p>



<p class="wp-block-paragraph">Step 4&nbsp;– Create a new channel in the Team and use the shared channel option.&nbsp; Add the email addresses of your clients once step 1 has been completed (this will take a few hours to take effect).&nbsp; If the settings are not correct, you will not be allowed to invite them.</p>

For many years, DMC has used a custom-built employee onboarding solution using <a href="https://static.dmcinfo.com/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint">SharePoint</a> and has expanded this solution to use with many clients.</p>

<p class="wp-block-paragraph">Onboarding employees seamlessly and with no stress is crucial to employee success. As DMC has grown throughout the years, we&rsquo;ve automated this process, so tasks don&rsquo;t get forgotten and there is less time spent tracking down the status of these tasks.</p>

<p class="wp-block-paragraph">In the past, we have automated the process of creating onboarding tasks and assigning those onboarding tasks using a <a href="https://static.dmcinfo.com/latest-thinking/blog/id/9688/employee-onboarding-and-offboarding-in-sharepoint">SharePoint Designer workflow</a>,&nbsp;in conjunction with SharePoint of course. As SharePoint Designer is being phased out, we have switched to using <a href="https://static.dmcinfo.com/services/digital-workplace-solutions/microsoft-consulting-services/the-power-platform">Power Automate</a>, modern SharePoint lists, and page views to make this solution more robust and keep up with the current Microsoft technology practices.</p>

<h2 class="wp-block-heading">The Onboarding Process</h2>

<p class="wp-block-paragraph">Onboarding is a process that happens over time both before an employee starts and continuing well into their first few weeks or months. In SharePoint, we create a custom list to track the status of each new employee depending on what stage they are in. We add new employees to the list as soon as they accept an offer, and then the workflow is immediately started. The different stages are defined based on how many days until or after the employees start date. Our workflow allows for these stages to be dynamic and allow for changes over time.</p>

<p class="wp-block-paragraph">Once the stages are defined, the super users of this solution can define the different tasks that need to be assigned to different people throughout the onboarding process. These tasks have expiration dates relative to the start dates of the new employees.</p>

<p class="wp-block-paragraph">These tasks are configurable and customizable to your company. There are many small details that go into the onboarding process, and these details are always changing. We create a SharePoint list that acts as the &quot;template&quot; for all onboarding tasks. This ensures that your team can update the process when needed. The workflow uses this template to automatically copy and assign the specific tasks needed for the new employee into the Onboarding Task List.&nbsp;</p>

<p class="wp-block-paragraph">When the new employee falls into the defined stage, depending on how many days they are from their start date, the different tasks will be automatically added into the Onboarding Task List and notify the employee assigned to each task that they have new onboarding tasks to complete. The email includes a link leading directly to a view of their tasks. Users can sort/filter their view at their convenience and check a box to mark tasks as complete when done.</p>

<p class="wp-block-paragraph">DMC builds this custom workflow using Microsoft Power Automate combined with SharePoint. There is no custom code. We only use the features that come with both Power Automate and SharePoint. <h2 class="wp-block-heading" id="h-adding-modifying-a-column">Adding/Modifying a Column</h2>



<p class="wp-block-paragraph">You can easily add a column directly from either user interface. Previous iterations of SharePoint required configuration knowledge to set up a SharePoint list. With the modern list, a lot of settings are easily found on the user interface. You can also move around columns and change their size in both tools easily.</p>



<h3 class="wp-block-heading" id="h-sharepoint-0">SharePoint:</h3>

<p class="wp-block-paragraph">Both tools allow you to easily thread comments regarding a specific item and tag users; however, in SharePoint Lists, since your users are already present in the Office 365 suite, they will be more likely to have the ability to access your list. The SharePoint user experience notified us that Natalie did not have access, and allowed me to grant it to her.</p>

For example, there are a variety of applications and tools that are included with most Office 365 license packages. This allows users to gain exposure and sample the basic features of each application. While it is helpful to sample all of these tools, new adopters can run into challenges as they get started.</p>



<p class="wp-block-paragraph">For many organizations, the need to adapt quickly during the pandemic prevented them from taking a thoughtful approach to introducing users to these new applications. <p class="wp-block-paragraph">Organizations can use SharePoint to create a secure intranet to store, organize, share, and collaborate on files and other information. Files and other content saved to <a href="https://static.dmcinfo.com/services/digital-workplace-solutions/sharepoint/">SharePoint</a> is securely stored with a version history that captures each edit made to the content. You can even revert to a previous version of a file or quickly recover a file that you accidentally deleted. From asset lists to standard operating procedures, SharePoint stores information and then makes searching for something as simple as typing key phrases into its search bar. In addition to collaboration capabilities, SharePoint also makes it easy to create and update intranet sites for top-down messaging. This is great for keeping your organization updated on internal news.</p>



<h2 class="wp-block-heading" id="h-onedrive">OneDrive</h2>



<p class="wp-block-paragraph">OneDrive is the Office 365 tool that allows users to securely store files in the Microsoft cloud and provides access to these files from multiple devices (e.g. PC, tablet, mobile phone, etc.). Like Dropbox, OneDrive is a place to store your personal work files that probably won&#8217;t need to be accessed by a larger group of people (though OneDrive does provide the ability to share files with others inside and outside your organization).  This is in contrast to SharePoint which is designed for team, department, and companywide <a href="https://youtu.be/Q3miAp2E6a8">storage</a> and <a href="https://youtu.be/JVqLPACP9KM">sharing</a> (and potentially with external users as well). Think of OneDrive as your personal file storage tool that can be accessed from multiple devices.</p>



<h2 class="wp-block-heading" id="h-teams">Teams</h2>



<p class="wp-block-paragraph">Organizations can keep their conversations going with Teams. <span style="box-sizing: border-box; margin: 0px; padding: 0px;">Through <a href="https://static.dmcinfo.com/services/digital-workplace-solutions/microsoft-teams/" target="_blank">Microsoft Teams,</a> you can take a text-based chat with other individuals or a group of people and sea</span>mlessly transition the conversation to a virtual meeting with the click of a button. The integration with other tools like SharePoint, Planner, Power Automate, and Calendar makes Teams a top choice if you were to select only one Microsoft 365 application to get started with. Files stored in Teams actually use SharePoint features to make collaborating on a shared document easy for anyone in the group. A team can set up their workspace with integrated apps to show Power BI dashboards, SharePoint lists, OneNote notebooks, and much more. Teams facilitates communication both internally and externally, making it the ideal communication hub.</p>



<h2 class="wp-block-heading" id="h-onenote">OneNote</h2>



<p class="wp-block-paragraph">This free-form note-taking platform allows for a team to easily capture information, make drawings, and save screenshots or audio commentary in a collaborative notebook. These notebooks can then be linked to a project site, Teams group, recurring meeting, or stand alone within a personal OneDrive.</p>



<h2 class="wp-block-heading" id="h-planner">Planner</h2>



<p class="wp-block-paragraph">Using the <a href="https://en.wikipedia.org/wiki/Kanban_board">Kanban</a> method to manage tasks, Microsoft Planner allows users to arrange tasks in a block formation. These boards use checklists, labels, and more to make the board content-rich and user-friendly with drag and drop options for collaboration.</p>



<h2 class="wp-block-heading" id="h-power-bi">Power BI</h2>



<p class="wp-block-paragraph"><a href="https://static.dmcinfo.com/services/digital-workplace-solutions/business-intelligence/">Power BI</a> visualizes data analytics with dashboards. It can link data with over 200 other connectors like CRM, Salesforce, SQL databases, ERP, marketing analytics, and SharePoint to display visual representations of the data.</p>



<h2 class="wp-block-heading" id="h-power-automate">Power Automate</h2>



<p class="wp-block-paragraph">An organization can create automated processes for business workflows using <a href="https://static.dmcinfo.com/services/digital-workplace-solutions/the-power-platform/">Power Automate</a>. These workflows can vary from onboarding workflows, time off approvals, document approvals, and creating storage locations in a structured way.</p>



<h2 class="wp-block-heading" id="h-power-apps">Power Apps</h2>



<p class="wp-block-paragraph">This tool allows a user to create no-code/low-code applications in minutes. It connects to hundreds of data sources and has step-by-step tours to teach users how to make simple apps for an organization&#8217;s needs, such as creating digital forms to capture data from others. Power Apps data is stored securely and requires authentication to access its forms and data.  Power Apps forms are often paired with Power Automate workflows to streamline business processes.</p>



<h2 class="wp-block-heading" id="h-forms">Forms</h2>



<p class="wp-block-paragraph">To very quickly and easily collect survey data from participants internally or outside of the organization, Forms allows either authenticated or unauthenticated users to respond to requests for information.&nbsp; The responses can be captured either anonymously or not. Forms allows the captured data to be viewed in a variety of ways, including Excel file format, web form, or visually represented in charts. Like Power Apps, Forms can be supplemented with&nbsp;Power Automate workflows.</p>



<p class="wp-block-paragraph">With Microsoft&#8217;s intuitive Office 365 platform, users can easily adopt its applications and tools into their daily work routine. As use of these tools grows within an organization, the more important it is to design and plan the processes and best practices that govern use of this powerful platform. Without understanding how all of these applications and tools fit together within the Office 365 platform, an organization is likely to face problems with efficacy, user adoption, governance, security, and solution redundancies.</p>

<p class="wp-block-paragraph">I am excited to announce the launch of the Chicago <a href="http://thewitnetwork.com/">WIT Network</a>!&nbsp;WIT (Women in Technology) is a community of professionals across the world that believe in making it easier for women to imagine, begin, and develop a career in IT.&nbsp;There are over 80 chapters in over 40 countries that provide a vast and varied network of events, contacts, and opportunities.</p>



<p class="wp-block-paragraph">As co-chair of the Chicago WIT chapter, I am especially excited to further WIT’s mission:</p>

<li>Build a global community of like-minded women who meet regularly.</li>



<li>Increase the number of young women pursuing careers in technology.</li>



<li>Grow opportunities for women working at every level of the industry.</li>



<li>Scale our reach to empower the women across the world who need it most.</li>

What starts out as a few, organized folders can quickly turn into a messy and confusing file system. Fortunately, SharePoint offers a solution by tagging documents with metadata.</p>

<p class="wp-block-paragraph">Document Management in SharePoint allows you to find documents easily and determine information about the document before you open it. For example, using metadata allows you to tag documents with two&nbsp;different categories without having to make duplicates into two different folders.</p>

<p class="wp-block-paragraph">I created this quick video to further explain how to simplify your document management with SharePoint metadata. I hope you find it useful!<br />
