<p class="wp-block-paragraph">Two of DMC&#8217;s <a href="/services/digital-workplace-solutions">Digital Workplace Solutions</a>&nbsp;team members led another fantastic Dashboard in a Day event this month.</p>



<p class="wp-block-paragraph">DMC partnered with Microsoft to deliver the workshop, which&nbsp;took place at the Microsoft Technology Center in Chicago. The goal of the workshop was to train participants on using Microsoft&#8217;s <a href="/services/digital-workplace-solutions/microsoft-consulting-services/business-intelligence">Power BI</a> platform to analyze their data in powerful ways and share the insights with the rest of their organization.</p>



<p class="wp-block-paragraph">We started off the day with coffee &amp; breakfast and a brief introduction to Power BI.</p>



<p class="wp-block-paragraph">Dan Mitchell gave a high-level overview of the uses of Power BI and the different ways that users can analyze their data. We further explained how Power BI makes it easy to connect reports and dashboards from a multitude of data sources that reside on-premises and in the cloud.</p>

<p class="wp-block-paragraph">Dan and <a href="/about/employee-bios/michael-dannemiller">Mike Dannemiller</a> then led a hands-on lab which&nbsp;participants found&nbsp;useful in enhancing their familiarity with&nbsp;Power BI. The lab continued for the morning and through lunch. Each participant received a lab manual with a step-by-step walkthrough of creating a Power BI dashboard.</p>

<p class="wp-block-paragraph">In the afternoon, participants were encouraged to use their own data to start creating compelling dashboards. Mike and Dan were available to assist everyone and answer strategic questions about company-wide data management.</p>



<p class="wp-block-paragraph">Power BI provides users with a better understanding of how to:</p>

<li>Define business rules and KPIs</li>

<p class="wp-block-paragraph">Have you ever wanted&nbsp;to create multiple PivotCharts in Excel showing different data from one table? I know I have, plenty of times!</p>



<p class="wp-block-paragraph">This step-by-step tutorial will show you a quick and easy way to create PivotCharts that all refresh, update and filter together.</p>



<p class="wp-block-paragraph">The first thing you&#8217;ll want to do is open the applicable Excel sheet that you&#8217;d like to create PivotCharts in.</p>



<p class="wp-block-paragraph">I created a sample table of data for this tutorial.&nbsp;From this table, I want three different charts showing me leads per month, opportunities per month and won quote amount per month.</p>

<p class="wp-block-paragraph">First, I will create a new sheet in my same Excel workbook and navigate to any blank cell on this worksheet, which you can see in the image below.</p>

<h2 class="wp-block-heading" id="h-creating-the-pivotcharts">Creating the PivotCharts</h2>

<li>Click on the top menu ribbon and navigate to <strong>insert</strong>.<br>

<li>Click <strong>PivotChart</strong>.<br>

<li>The pop-up&nbsp;below will appear and you will choose the data you want to analyze for your Data Model.

<li>Click <strong>Use an external data source</strong>.</li>



<li>Click <strong>Choose Connection</strong>.

<li>Click <strong>Tables</strong>.</li>



<li>Choose the applicable table you&#8217;d like to create PivotCharts from. In my case, that is <strong>Table1</strong>.

<li>The same pop-up from before will appear again, and you will want to choose where you want the PivotChart to be placed.

<h2 class="wp-block-heading" id="h-putting-data-into-the-pivotchart">Putting data into the PivotChart</h2>

<li>On the right side of the worksheet, you should see the <strong>PivotChart Field List</strong>.

<li>You&#8217;ll know that you have made the data connection successfully&nbsp;when there is &#8220;Table 1&#8221; at the top of the field list.<br>

<li>In my case, I want the month to be my axis and leads to be my value.&nbsp;

<h2 class="wp-block-heading" id="h-creating-more-charts">Creating More Charts</h2>



<p class="wp-block-paragraph">I want to create the same type of graph, but with Opportunities as my value. All I have to do is copy and paste the leads graph into the same worksheet. Then, in the field list, change leads to opportunities in the value field and rename the graph.</p>

<p class="wp-block-paragraph">Now, when you add more data into your original table, you will want to right-click on one of the PivotCharts and click refresh. All three charts will refresh with the new data.</p>

<li>Click on one of the charts and navigate to <strong>analyze </strong>in the top menu ribbon.&nbsp;<br>

<li>Click<strong> insert&nbsp;slicer</strong>.<br>

<p class="wp-block-paragraph">There is one key difference, which if you do not complete, your color code icon will not display. The new step is to change the list web part to a style of Basic Table instead of Default.  Follow these simple updated steps and you will be color coding lists on Office 365 in no time!<br> Here is a <a href="http://www.w3schools.com/tags/ref_colornames.asp" type="link" id="http://www.w3schools.com/tags/ref_colornames.asp">list of available colors</a>.</p>

<li><strong>Step 5</strong> &#8211; Add a Content Editor Web Part directly underneath the List/Task Web Part</li>



<li><strong>Step 6</strong> &#8211; In 2010 and 2013, you will need to load the below code to a location on your site in a text file and point the content editor to the location. In 2007, you can copy and paste the below code into the content editor settings box itself.</li>

<p class="wp-block-paragraph"><strong>Event Overview</strong></p>



<p class="wp-block-paragraph">More than twenty business and IT leaders gathered on March 16, 2011 to participate in DMC’s Team Collaboration Breakfast Workshop hosted at Microsoft’s Midwest Headquarters in Downers Grove.</p>



<p class="wp-block-paragraph">Led by Rick Rietz, DMC’s Director of Consulting Services, the workshop focused on how to make the switch to a collaborative company culture by applying technology like Microsoft SharePoint to ease the transformation. Participants were treated to a series of ideas and success stories about making change take hold in organizations where change is difficult to make happen. Each guest completed a Team Collaboration Playbook with dozens of exercises aimed at creating a personal plan for creating a culture of collaboration in their organization. A demonstration of SharePoint 2010’s communication, collaboration and dashboard features concluded the event.</p>



<p class="wp-block-paragraph">Everyone in attendance also received a copy of the Heath Brothers’ best-seller Switch. Switch uses a three-part theme (rider, elephant, and path) to illustrate the challenges most organizations face in creating change and to suggest strategies to make change last. Attendees learned the importance of motivating the emotional side (elephant), appealing to one&#8217;s logical perspective (rider), as well as creating an easy path for people to follow when attempting to create a lasting organizational change. The concepts of Switch provided a fun and relatable theme throughout the workshop.</p>



<p class="wp-block-paragraph">Rick Rietz noted “Making it easy to share ideas and knowledge with others is essential to establishing a culture of collaboration. Participants who had not adopted SharePoint were very encouraged to see how SharePoint 2010 made it easy for non-technical staff to contribute their ideas and knowledge to the organization.” Rick was surprised by the large number of workshop participants who were already using SharePoint. He added, “However, I was not surprised that many of them had only scratched the surface of SharePoint’s collaborative capabilities. Several of these participants told me they learned a lot about SharePoint today and how to make lasting change take root in their organization.”</p>

<p class="wp-block-paragraph">I recently fielded a question from a potential client who wanted to know if Microsoft SharePoint or Google Docs with Google Sites was a better fit for their organization&#8217;s document management and collaboration needs. Although this question is pretty straightforward, the explanation can get a bit complicated.</p>



<p class="wp-block-paragraph">The short answer is Google Docs/Sites is a great tool if you do not have an enterprise collaboration platform at your disposal, and you need to get a document sharing site up quickly. However, Google Docs/Sites falls way short in providing the breadth and depth of features that <a href="/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint">Microsoft SharePoint</a> offers.</p>



<p class="wp-block-paragraph">SharePoint is a true enterprise platform with capabilities that extend beyond document management and collaboration (e.g. Intranet, Extranet, Search, Workflow, and KPI <a href="/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint/dashboards">Dashboards</a>). If you have a dozen or more computer users in your organization who need tools other than email and network drives to collaborate, you should strongly consider an investment in the SharePoint platform. Office 365&#8217;s SharePoint Online subscription is a terrific value (a business with fewer than 300 users can get SharePoint Online, Exchange Online, Skype for Business, and OneDrive for Business all for <a href="https://static.dmcinfo.com/blog/27285/office-365-small-and-midsize-bundles-get-a-makeover/">$5/user per month</a>). Microsoft even offers a free on-premises version of SharePoint (SharePoint Foundation) for smaller organizations, along with <a href="/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint/sharepoint-deployment-planning-services" type="link" id="/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint/sharepoint-deployment-planning-services" target="_blank" rel="noreferrer noopener">premium versions for larger organizations</a>.</p>



<p class="wp-block-paragraph"><strong>Analysis Notes</strong></p>



<p class="wp-block-paragraph">I&#8217;ll try to keep my analysis short and simple by not debating the merits of cloud-based versus premise-based solutions (both Microsoft and Google offer cloud-based solutions for a monthly fee). A comparison of cloud-based document authoring tools (<a href="https://static.dmcinfo.com/blog/28470/a-simple-guide-to-microsofts-new-office-365-plan-options/">Microsoft Office 365</a> and Google Docs) is also beyond the scope of this particular blog entry. Instead, this blog entry will focus on providing a functional comparison of the document management and collaboration features of these offerings.</p>



<h2 id="h-document-management" class="wp-block-heading">Document Management</h2>



<p class="wp-block-paragraph">From a document management perspective, Microsoft SharePoint and Google Docs have compelling offerings. Both provide a browser-based user experience for managing documents in a central location and keeping track of a document&#8217;s version history.</p>



<p class="wp-block-paragraph">SharePoint includes a wider variety of document management features than Google Docs, including:</p>



<ul class="wp-block-list">
<li>Metadata tagging to help you organize and find documents quickly</li>



<li>Check-in/Check-out to prevent multiple users from editing a document at the same time</li>



<li>Document sets which allow a group of related documents to be treated as a single piece of content that share metadata and version history</li>



<li>Records management for managing the lifecycle of documents and providing for the ability to place documents into a legal hold state</li>



<li>Workflow processes may be triggered (e.g. approval/publishing of content) whenever a document is added, changed, or removed</li>
</ul>



<p class="wp-block-paragraph">Google Docs may be a better fit than SharePoint in some circumstances:</p>



<ul class="wp-block-list">
<li>Google Docs is quite a bit easier to set up and configure than SharePoint, so you should be able to get started in less time (although SharePoint&#8217;s Active Directory integrated same sign-on capabilities are probably well worth the extra setup time)</li>



<li>Organizations with only a simple need to share documents may find Google Docs easier to use</li>



<li>Google Docs is often a good fit for organizations with ad-hoc teams that must be brought together quickly (Microsoft&#8217;s <a href="https://support.office.com/en-us/article/Learn-about-Office-365-Groups-b565caa1-5c40-40ef-9915-60fdb2d97fa2?ct=t(GS_SPO1_11_2015)&amp;ui=en-US&amp;rs=en-US&amp;ad=US">Office 365 Groups</a> offering is also very nimble and provides this capability)</li>



<li>Google Docs will likely take less time to implement than SharePoint; you will likely need a <a href="https://static.dmcinfo.com/about/partners/microsoft-gold-partner">Microsoft Partner</a> to assist you with a SharePoint implementation</li>
</ul>



<p class="wp-block-paragraph">If you are looking for a document management solution that supports day-to-day employee and inter-departmental document sharing as well as special projects, then SharePoint will be a better fit for your organization in the long-run. If you just need a quick and dirty solution for an ad-hoc project, then Google Docs is probably a better way to go.</p>



<h2 id="h-collaboration" class="wp-block-heading">Collaboration</h2>



<p class="wp-block-paragraph">SharePoint and Google Docs with Google Sites are pretty far apart on the maturity scale &#8211; SharePoint has been around since 2001 and is a stable platform for small &amp; mid-sized organizations, as well as&nbsp;large&nbsp;enterprises; Google&#8217;s Docs with Sites was released&nbsp;in 2008 and has seen limited adoption, primarily with smaller organizations.</p>



<p class="wp-block-paragraph">Both SharePoint and Google product suites include document management systems and the ability to create collaboration sites, but SharePoint includes quite a few additional features. SharePoint is often referred to as a Swiss army knife of collaboration and office productivity features.</p>



<p class="wp-block-paragraph"><strong>Feature Comparison</strong></p>



<p class="wp-block-paragraph">SharePoint features that are absent from Google&#8217;s offering include:</p>



<ul class="wp-block-list">
<li>Workflow to automate and manage business processes</li>



<li>Enterprise search capabilities to index content on your network drive (as well as the content you store inside SharePoint)</li>



<li>Configurable lists to capture metadata when storing documents</li>



<li>Centralized task lists to replace spreadsheets (great for managing projects)</li>



<li><a href="/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint/dashboards">SharePoint dashboards</a> can integrate data from other systems to track your Key Performance Indicators</li>



<li>Tight integration of Documents, Tasks, and Calendars with the Microsoft Office Suite (e.g. updates made in Outlook, Word, Excel, and PowerPoint will automatically update the central copy inside SharePoint)</li>
</ul>



<p class="wp-block-paragraph"><strong>Permission Management</strong></p>



<p class="wp-block-paragraph">SharePoint and Google Sites now have similar capabilities when it comes to permission management. Prior to recent updates, Google Sites allowed&nbsp;you to only define who can view content and who can edit content on each site. Since 2007, SharePoint has allowed administrators to identify groups or individuals&nbsp;who may&nbsp;view some portions a site&#8217;s&nbsp;content, but not necessarily everything. Similarly, SharePoint allowed&nbsp;you to specify groups or individuals who modify some pieces of content, but not necessarily everything.</p>



<p class="wp-block-paragraph"><strong>Market Share</strong></p>



<p class="wp-block-paragraph">The organization adoption level for Google sites is pretty tiny when compared to the adoption level of SharePoint.&nbsp;A few notable Microsoft customers switched from MS Office (Word/Excel/PowerPoint) to Google Docs a few years ago, but generally speaking, Google Sites will only be found in some smaller organizations.</p>



<h2 id="h-conclusion" class="wp-block-heading">Conclusion</h2>



<p class="wp-block-paragraph">Overall, SharePoint is still a category killer and the clear winner when it comes to document management and collaboration solutions. For good reason, there are over 190 million users of SharePoint across 200,000 organizations worldwide!</p>

<p class="wp-block-paragraph">Nearly all SharePoint projects I work on include a <a href="/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint/dashboards">SharePoint Dashboard</a> component that automates the aggregation of Key Performance Indicators (KPIs).</p>



<p class="wp-block-paragraph">In this video blog, I highlight the key benefits that automating the aggregation of data via a SharePoint Dashboard have over manual KPI reporting. <p class="wp-block-paragraph">Interactive controls in the web parts allow users to specify a date range of data they are interested in. The web part can automatically choose an appropriate time scale to apply to the information (for example, by day, by week, by month, by year) based on the overall time range selected.</p>

<p class="wp-block-paragraph">There&#8217;s also an interactive filtering option to allow the user grab a sub set of data that meets a certain criteria. For example, on a chart showing overall sales revenue, the user could filter by a particular sales person to see the revenue that individual was responsible for bringing in.</p>

<h3 id="h-pre-configuration-by-dmc-allows-rapid-dashboard-creation" class="wp-block-heading">Pre-Configuration by DMC Allows Rapid Dashboard Creation</h3>



<p class="wp-block-paragraph">DMC will develop a library of pre-configured charts and grids to show everything a customer wants to see on their dashboard. Once this is set up, creating a new dashboard is as simple as dropping a new web part onto a page and selecting the chart or grid you want from a list. The web part will instantly be fully set up with all the pre-configured settings.</p>

<p class="wp-block-paragraph">A second advantage of these tools is that they provide end users with full control over every aspect of the visual appearance of the data. Customers have access to an intuitive settings panel where they can choose make changes to any aspect of how the web part will display information. More advanced users can even specify all the details about where to retrieve the source data for the web part using a set of intuitive menus.</p>

<h3 id="h-ability-to-retrieve-information-from-a-variety-of-data-sources" class="wp-block-heading">Ability to Retrieve Information from a Variety of Data Sources</h3>



<p class="wp-block-paragraph">Displaying real-time data on a dashboard can be thought of as a two part process. The first step is to retrieve the information you are interested in from wherever that data resides. The second step is to visualize that data in a way that is easy for people. The architecture of these web parts cleanly encapsulates the data retrieval process from the data visualization process.</p>



<p class="wp-block-paragraph">DMC has already implemented the ability to retrieve information from a variety of common data sources, including SQL databases and SharePoint lists. Additionally, we can get information from sources like Google Analytics and Blue Sky Email Marketing to create a dashboard to track marketing effectiveness. We can even get statistics from Facebook and Twitter to generate a dashboard to track social media metrics that are becoming increasingly important to businesses!</p>



<p class="wp-block-paragraph">DMC is continually learning to &#8220;talk&#8221; to new sources of data (Dynamics GP accounting system and Gold Mine CRM software to name a couple) and will rapidly implement new interfaces to any sources of data a customer may have.</p>

<h3 id="h-deployment-requires-only-windows-sharepoint-services-wss-a-free-add-on-to-windows-server" class="wp-block-heading">Deployment Requires Only Windows SharePoint Services (WSS), a Free Add-On to Windows Server</h3>



<p class="wp-block-paragraph">The majority of the dashboard web part options available today rely on features of Microsoft Office SharePoint Server, which carries with it software and per-user licensing costs. The flexible chart and grid web parts developed by DMC were designed to accomplish the same goal while requiring only Windows SharePoint Services, which is available as a FREE add-on to any Microsoft Windows Server installation. Once again, this allows DMC to provide a more advanced dashboard solution at a lower cost our customers.</p>

<h3 id="h-maintainability-and-upgradability" class="wp-block-heading">Maintainability and Upgradability</h3>



<p class="wp-block-paragraph">The overall structure of these flexible web parts is far more maintainable and easier to upgrade than having many separate types of web parts that are each dedicated to a particular dashboard metric. Say you have 40 web parts deployed all over your SharePoint site and you come up with a new feature or option you&#8217;d like to have. For DMC Engineers, we only have to implement any new features in one location, making development faster and more streamlined. For customers, these upgrades will automatically take effect in ALL the web parts you have deployed, not just particular ones.</p>



<p class="wp-block-paragraph">DMC has currently developed both a Chart / Graph web part and a Grid / Spreadsheet web part that serve as highly versatile tools that handles grabbing information from any source and visualizing that data in any conceivable chart or grid format. 										<content:encoded><![CDATA[<p class="wp-block-paragraph">DMC led a SharePoint Dashboard Workshop at the <a href="http://www.illinoismanufacturing.org/" target="_blank">Alliance for Illinois Manufacturing</a> executive lunch briefing on March 4, 2010. The event&apos;s topic, <strong>Use Technology You Already Own to Operate Efficiently and Competitively</strong>, drew a full-house of thirty business leaders.</p>

<p class="wp-block-paragraph">Participants were treated to a Key Performance Indicator (KPI) and dashboard workshop led by Rick Rietz, DMC Director of Consulting Services. In addition, Rick led a deep-dive demonstration of <a href="/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint/dashboards">SharePoint Dashboard</a> and <a href="/services/digital-workplace-solutions/microsoft-consulting-services/sharepoint">SharePoint Collaboration Portal</a> capabilities. Each guest left with a workbook that helped conceptualize accountability and KPI tracking within their own businesses.</p>

<p class="wp-block-paragraph">&quot;Many of the business leaders who attended were blown away by how many powerful features are included with the free version of SharePoint, especially wikis, document management, and team collaboration,&quot; said Rick Rietz immediately after the event. Rick added, &quot;However, the motivational power and decision-making support that a SharePoint dashboard provides drew the most appreciation from the audience&quot;.</p>

<p class="wp-block-paragraph">&quot;The capabilities of SharePoint are far greater than I had thought,&quot; expressed one guest. Another commented on SharePoint&apos;s ability to effectively address business challenges including, &quot;our need for real time data in the form of a dashboard,&quot; and &quot;our urgent need for SharePoint&apos;s document management features.&quot;</p>

<p class="wp-block-paragraph">With over 100,000,000 world-wide users, Microsoft SharePoint has emerged as the de facto collaboration platform for business. SharePoint provides businesses with a cost-effective way to leverage the Microsoft technology they already own to drive their business to operate more efficiently and more competitively through a multitude of capabilities.</p>
